
As 2025 comes to a close, we’re taking a moment to reflect on what this year’s events have taught us. Every program, every client, and every unexpected moment has been an opportunity to grow. Event planning isn’t just about logistics or timelines; it’s about people, creativity, and learning something new with each event we bring to life.
Staying flexible when plans change
If there’s one thing this year reinforced, it’s that even the most detailed plans can shift in a heartbeat. With so many moving parts, being able to adjust is what keeps everything running smoothly. As Special Services Manager, Alexis Garcia, put it “Despite the agenda and details, flexibility is key.”
That adaptability goes hand in hand with preparation. Event Manager, Jackie Delgado, reminded us that knowing your show inside and out makes all the difference. Multiple run-throughs and clear planning help us pivot confidently when surprises happen. Being flexible doesn’t mean being unprepared, it means being ready for anything.
Clear communication makes for smooth events
Events thrive when everyone is on the same page. Clear communication before, during, and after each event ensures that every vendor, partner, and guest experience runs seamlessly. Events Manager, Emely Chacon, summed it up best: “When everyone’s aligned, the experience feels effortless for guests.”
From first client meetings to the final guest leaving the venue, every touchpoint matters. Keeping open lines of communication with our clients and team not only builds trust but also creates smoother, more enjoyable event experiences for everyone involved.
Creative freedom leads to unexpected success
In 2025, we found inspiration in experimentation. Event Director, Elizabeth Bomer, reminded us that taking creative risks can lead to surprising results. “Be willing to mix materials in your décor; the end result might surprise you.” Event Director, Danielle Gunter, added that giving our team space to explore new ideas often brings a concept to life in unexpected ways.
Those moments of creativity are where the magic happens. Whether it’s mixing textures in décor, building an immersive theme, or reimagining how a space can feel, creativity fuels what makes every event stand out.
Connection is what makes events memorable
Some of this year’s most powerful takeaways came from moments of real human connection. As Vice President Peggy Wills shared, “The most powerful moments in an event aren’t the speeches or the décor; they’re when the audience feels something real.”
At the Roadrunners Luncheon, Jerry Rice’s story of humble beginnings and perseverance stood out. It was a powerful reminder that every event holds the potential to create lasting, meaningful moments that stay with guests long after they leave.

This year reminded us that great events don’t just happen; they’re built through collaboration, creativity, and trust. The lessons we gained in 2025 will shape how we approach the year ahead, with an even deeper commitment to thoughtful planning and meaningful experiences.
